ROLE
We need an experienced Receptionist at RAF Mildenhall’s Military & Family Readiness Center (M&FRC). The M&FRC supports active-duty service members and their families through a variety of transition and readiness programs. RAF Mildenhall operates in close coordination with the 48th Fighter Wing under the 3rd Air Force, part of U.S. Air Forces in Europe (USAFE). RAF Mildenhall is a Royal Air Force installation, hosting key U.S. Air Force units and mission support elements aligned under USAFE’s 3rd AF structure. In this role, you will serve as the welcoming face and administrative backbone of the center—managing front desk operations, directing clients, scheduling appointments, maintaining data records, and supporting the Transition Assistance Program (TAP). RESPONSIBILITIES
- Receive telephone calls, greet visitors, determine the nature of the call or visit, and direct clients to the appropriate M&FRC program manager.
- Schedule clients for M&FRC programs and seminars using the AFFIRST system with at least 90% accuracy.
- Provide complete and clear information addressing routine or procedural issues; refer complex inquiries to the TAP program manager.
- Prepare packets and handouts, update and restock M&FRC pamphlets, and print and fold materials as needed.
- Monitor and assist clients with use of Discovery Resource area computers, copier, fax machine, and other equipment.
- Maintain the neatness and organization of the Front Desk and Discovery Resource area; report inoperable equipment to M&FRC management.
- Input and maintain accurate data in AFFIRST and MS Excel spreadsheets.
- Keep current information on service organizations and make appropriate referrals to on- and off-base agencies.
- Manage reference library check-out procedures and report missing or unreturned items to the M&FRC Flight Chief.
- Maintain, organize, and update internal tracking documents for service members within 24 months of separation.
- Update internal tracking documents daily to reflect status changes and save to shared drive folders.
- Identify service members within 90 days of separation who have not initiated TAP and notify the TAP program manager.
- Coordinate weekly with the TAP Manager to obtain lists of eligible members for separation.
- Contact members via email to schedule Initial Counseling appointments.
- Update service member records in AFFIRST using documents collected during counseling sessions.
- Assemble Pre-Separation packets, monitor supplies, make copies, and notify TAP Manager of shortages.
- Input Pre-Separation data into transition tracker spreadsheets using MS Excel.
- Reschedule Initial or Pre-Separation Counseling appointments for absentees.
- Track members enrolled in TAP using TAP program manager's tracking document.
- Contact TAP members within a 90-day Capstone window to schedule appointments and send required documents.
- Reschedule Capstone appointments for absentees.
REQUIRED QUALIFICATIONS
- One year of data entry experience
- Three years of total work experience
- Must be proficient in both written and verbal English; as well as in typing
- Must be proficient in using and troubleshooting Microsoft Office apps including Outlook, Word, Excel, and PowerPoint
- Must have the ability to quickly become proficient using additional integrated reporting and data analysis software platforms
