Fact Witness Coordinator
ROLE
We are looking for an experienced Fact Witness Coordinator to support the U.S. Attorney’s Office for the Southern District of Ohio (USAO SDOH) Witness Management Program. In this role, you will provide direct clerical and administrative support to Victim-Witness personnel, AUSAs, legal assistants, and other USAO staff in managing the fact witness process from start to finish — including coordinating travel and lodging, processing witness vouchers and reimbursement documentation, and ensuring witnesses appear for court, pre-trial conferences, and grand jury proceedings. RESPONSIBILITIES
- Receive visitors, field phone calls, and respond to inquiries from fact witnesses regarding court appearances, pre-trial conferences, grand jury, and expense reimbursement
- Initiate contact with fact witnesses to provide appearance dates, travel arrangements, and identify any special circumstances or needs
- Arrange fact witness travel and lodging in accordance with Department of Justice and USAO policies and procedures; complete and submit documentation for special authorizations prior to travel
- Meet with fact witnesses upon arrival, provide courtroom orientation, accompany witnesses to court, and collect necessary documentation for reimbursement
- Prepare and submit witness vouchers and other reimbursement documentation; furnish requested status information on pending and completed vouchers
- Gather required documentation and reconcile Government Travel Accounts
- Confer and coordinate with the Court, Probation, Pretrial, U.S. Marshals Service, investigative agencies, and other counterparts as needed
- Use judgment to determine when an AUSA should be notified of special witness circumstances, including international witnesses, military/federal employees, or hostile witnesses
- Compose original correspondence and complete recurring documents requiring knowledge of legal procedures and terminology relevant to fact witness laws and regulations
- Establish and maintain fact witness files, databases, and calendars of active and pending appearances; track hearings, trial dates, grand jury, and scheduling conferences
- Process and log all incoming appeal requests and correspondence within prescribed timeframes; refer unusual items to the COR as appropriate
- Perform general office and administrative duties related to fact witness management as required
- High school diploma required; undergraduate degree preferred
REQUIRED EXPERIENCE / SKILLS
- 3+ years of relevant experience, including:
- Strong written and verbal communication skills
- Word processing and data entry/retrieval
- Ability to review and analyze data and information from multiple sources
- Ability to establish and maintain case and project files
- Experience entering and retrieving data from databases
- Ability to prepare and format management reports and correspondence using word processing software
- Ability to schedule appointments and manage calendars
- Ability to respond to inquiries regarding case-related status and information
- Experience coordinating with external agencies and organizations to obtain information
- Ability to maintain internal status information on files, records, and assets
- Ability to perform analytical computations and ensure accuracy of data
LOCATION

- U.S. Citizenship required; must be able to pass a Department of Justice background investigation (NACI)

- Local travel may be required (within 50-mile radius of place of performance); occasional travel to branch offices or EOUSA training in Washington, DC

COMPENSATION
- Base Hourly Wage: $20.83 per hour
- Health & Welfare (Benefits rate): $5.09 per hour
- Total Hourly Compensation: $25.92 per hour
