Victim Witness Coordinator
ROLE
We need an experienced Fact Witness Coordinator at the U.S. Attorney's Office, Middle District of Pennsylvania (USAO-MDPA). The USAO-MDPA serves as the nation's principal litigator for the federal government within the district, handling the prosecution of criminal cases, the prosecution and defense of civil cases, and the collection of debts owed to the federal government. In this role, you will provide witness management assistance before, during, and after trial, working directly with fact witnesses to ensure appearance for court, pre-trial conferences, and grand jury. You will field phone calls and inquiries from fact witnesses concerning travel arrangements and expense reimbursement, confer with the AUSA on special circumstances such as international or hostile witnesses, complete and submit fact witness reimbursement documentation, reconcile Government Travel Accounts, and coordinate with the Court, Probation, Pretrial, the U.S. Marshals Service, and other investigative agencies as needed. RESPONSIBILITIES
- Provide witness management assistance prior to, during, and after trial
- Work directly with fact witnesses to ensure appearance for court, pre-trial conferences, and grand jury
- Receive visitors and field phone calls, questions, and inquiries from fact witnesses concerning court, pre-trial conferences, grand jury appearances, and expense reimbursement
- Obtain pertinent information and documents necessary to arrange witness travel and reimbursements
- Initiate contact with fact witnesses concerning travel arrangements, appearance date and time, and any special circumstances or needs
- Confer with the AUSA concerning fact witness appearance and special circumstances, including special authorizations, international witnesses, military or federal employee witnesses, or hostile witnesses
- Complete and submit documentation for special authorizations and obtain prior approval before proceeding with travel arrangements
- Ensure all travel documents and appearance date and time are provided to the witness prior to appearance
- Make necessary arrangements for fact witness travel and lodging in accordance with Department of Justice and USAO policies and procedures
- Meet with fact witnesses upon arrival, usher to designated hearing or pre-trial conference, and provide courtroom orientation
- Accompany witnesses to court and ensure a safe waiting area is available
- Collect necessary documentation and signatures for fact witness reimbursement
- Prepare and submit fact witness vouchers and other required reimbursement documentation
- Gather required documentation and reconcile Government Travel Accounts
- Coordinate with the Court, Probation, Pretrial, the U.S. Marshals Service, investigative agencies, and other counterparts as necessary
- Complete variable aspects of recurring documents in conformance with established style and format
- Compose original correspondence requiring working knowledge of legal procedures and specialized terminology relevant to fact witness laws and regulations
- Establish and maintain fact witness files, documents, and databases
- Maintain calendars and track hearings, trial dates, grand jury dates, and scheduling conferences
- Perform other administrative and logistical fact witness management duties as needed
REQUIRED EXPERIENCE
- One year of experience in clerical, office, or administrative support services
- Proficiency in Microsoft Office Suite, word processing, document creation and management, business administration, and data entry
- Experience and expertise in performing the requisite duties above
EDUCATION
- High School Diploma – required; Undergraduate degree – preferred

- Base Hourly Wage: $19.54 per hour
- Health & Welfare (Benefits rate): $5.09 per hour
- Total Hourly Compensation: $24.63 per hour
